TERMS AND CONDITIONS

Welcome to HeyRepública. By requesting our services, you agree to the terms and conditions outlined in this document. Please read each section carefully to ensure clarity about your experience with us.
1. CANCELLATION POLICY AND FLEXIBILITY
Cancellations
You may cancel your trip up to 60 days before the start date for reasons beyond your control (e.g. health restrictions, natural disasters, political situations at the destination). In such cases, you will receive a non-transferable, non-refundable credit valid for 12 months from the date of issue, applicable to a new service request.
Rescheduling
You may request to reschedule your itinerary up to 21 days before the trip, provided there are justified reasons beyond your control. If suppliers allow changes without penalties, no additional charges will apply. Otherwise, any difference or surcharge will be assumed by the client.
Overdue Payments
Full payment must be completed at least 90 days before the start of the service. If payment is not received and you have not notified us of your intention to cancel or reschedule, standard cancellation penalties will apply according to the cancellation schedule.
2. CONTRACT AND BOOKINGS
The contract between you (the traveler) and HeyRepública becomes effective upon receipt of any partial or full payment. The lead client making the reservation assumes responsibility for the group and accepts these terms on behalf of all participants.
Bookings made more than 90 days in advance: require a minimum deposit of 25%.
Bookings within 90 days of departure: require full payment to confirm.
We reserve the right to cancel bookings for non-payment without further compensation.
3. PAYMENT POLICY AND MANAGEMENT
Payments are used to coordinate reservations, pay suppliers, and cover management costs. In case of cancellation, only amounts recoverable from suppliers will be refunded, if any. HeyRepública does not operate as a trustee and does not hold funds in escrow.
4. HEALTH AND INSURANCE
If you or anyone in your group has relevant medical conditions, you must inform us at the time of booking. We reserve the right to cancel the service if we determine that we cannot guarantee your safety or well-being.
All clients must have adequate travel insurance. We accept no responsibility for losses resulting from lack of coverage.
5. CLIENT CANCELLATION
Cancellations must be made in writing. Penalties are as follows:

In some cases, if the reason is covered by your insurance, you may request reimbursement directly from your insurer.
6. CLIENT-REQUESTED CHANGES
Changes must be requested in writing. Any modifications are subject to availability and may require price adjustments or additional deposits. Name changes are treated as cancellations and will incur penalties.
7. CANCELLATION BY HEYREPÚBLICA
HeyRepública may cancel the service if:
Payments are not made as agreed
Force majeure situations occur
The client engages in inappropriate or risky behavior
If cancellation is due to internal causes on our part, a full refund or a service of equal value will be offered.
8. LIMITED LIABILITY
HeyRepública’s maximum liability will never exceed the total amount paid by the client. We are not responsible for losses, damages, or injuries caused by third parties, force majeure situations, or services not directly contracted with us.
9. THIRD-PARTY ACTIVITIES
Many of HeyRepública’s services are managed through external providers. We act as coordinators or booking agents. We do not directly operate hotels, transportation, tours, or restaurants. By booking with us, you accept the terms and conditions of those suppliers.
10. DOCUMENTATION AND CLIENT RESPONSIBILITIES
It is your responsibility to have valid travel documents, visas, vaccines, or immigration requirements. You must also show up on time for any confirmed bookings and follow safety instructions.
11. NON-INCLUDED SERVICES
HeyRepública does not include international flights, medical insurance, consular procedures, or personal expenses unless expressly stated in the service confirmation.
12. CLAIMS AND DISPUTES
Issues during the trip must be reported immediately to the local provider or concierge. If unresolved, a formal claim must be submitted in writing within 28 days after returning from the trip.
Any dispute will be resolved through private arbitration in Santo Domingo, Dominican Republic, under local laws. Both parties waive their right to a jury trial.
13. SPECIFIC TERMS OF THE HEYREPÚBLICA CONCIERGE SERVICE
a) Nature of the Service
HeyRepública is a local and digital concierge service. We do not operate as a traditional travel agency or tour operator. We provide personalized consulting, planning, and reservation management through a trusted network of local providers.
b) Delivery Format
Personalized itineraries are delivered in interactive PDF format or via private Google Maps links. The client is responsible for reviewing and confirming every detail.
c) Service Scope
The contracted service includes up to 5 reservation managements per itinerary, WhatsApp assistance during the trip, and personalized recommendations. Assistance beyond this scope may generate additional charges.
d) Platforms and Affiliations
HeyRepública may use external platforms such as Booking.com, Google Maps, or Travefy to coordinate or suggest services. We are not responsible for changes, errors, or cancellations on these platforms.
e) Intellectual Property
All itineraries, personalized maps, and written recommendations created by HeyRepública are for the exclusive use of the client. They may not be copied, sold, or redistributed without written authorization.
f) Client Data and Privacy
Client information is stored securely using systems such as Airtable, Make.com, and automation platforms. We use this data exclusively to coordinate your trip. By submitting your form, you agree to this use according to our privacy policy.
g) Supplier Coordination
We commit to coordinating the reservations included in your itinerary, but final availability depends on the supplier. Availability is not guaranteed until written confirmation is received.
